About the Role
We are seeking a professional and organized Executive Assistant to provide comprehensive administrative support to our legal team. Key Responsibilities
- Provide executive-level administrative support to partners and attorneys
- Manage complex calendars, schedule meetings, and coordinate travel arrangements
- Handle client communications and maintain professional relationships
- Prepare correspondence, presentations, and reports
- Coordinate meetings, conference calls, and client events
- Manage filing systems and maintain organized records
- Support business development and marketing initiatives
- Assist with billing, invoicing, and expense management
Client & Communication Support
- Serve as first point of contact for clients and vendors
- Handle phone calls with professionalism and discretion
- Coordinate client meetings and conference calls
- Prepare meeting materials and follow-up communications
- Maintain client contact databases and relationship management systems
Administrative Excellence
- Manage multiple calendars with complex scheduling requirements
- Coordinate domestic and international travel arrangements
- Prepare expense reports and manage reimbursement processes
- Maintain physical and electronic filing systems
- Handle confidential information with appropriate discretion
Required Qualifications
- Bachelor’s degree preferred or equivalent combination of education and experience
- 3+ years of executive assistant or high-level administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Professional demeanor and strong interpersonal skills
- Ability to handle confidential information with discretion
- Detail-oriented with strong problem-solving skills
Preferred Qualifications
- Experience in professional services (law firm, accounting, consulting)
- Background in legal administration or legal environment
